Behavior change management and training
Align user behavior with policies, processes, and systems.
How we help
Employees tend to hoard emails, files, and documents and “save everything forever”. This increases costs and legal or compliance risks while decreasing productivity. Simply instructing them to stop rarely works, while aggressive deletion policies may backfire. Even with perfect policies and technology, if employees do not change their habits, the program will not work.
The good news is that even change-resistant employees can and will adopt new habits when presented in the right way.
We develop and deliver tailored change management programs that include strategic communication plans, customized training, and prescriptive guidance.

“What are our current records management, document retention, information governance and privacy capabilities and how do they impact employee productivity, collaboration, compliance, risk and cost?”
“How do our information governance and data retention capabilities compare against peers in our industry?“
“What order should these program development activities take, how long will they take, and how should these activities be coordinated with other initiatives?”
“How do we communicate this plan effectively and credibly to senior management?”
“What level of records management, privacy and information governance maturity should our program have and what level of resources do we need to support this maturity for our company in our industry?”

What We Do
Our behavior change management and training services
Behavior change management is a critical component to program adoption and employee compliance. We get employees to care about records management, document retention, privacy and managing sensitive information by effectively communicating program benefits and involving them in concise and engaging training.
Our behavior change management and training service fosters compliance and productivity by bringing user behavior in line with information governance policies, processes, and systems through messaging, communication, training, and audit.
Change Management Communication and Training
We provide a behavior change management plan, communications and training toolkit, training content, and implementation plan.
Our Information Governance Communications and Training Plan provides the framework for change management activities. The customized and tailored plan includes program purpose and objectives, success criteria and metrics, audience segments, communications and training schedule, international training needs, training content development plan, communication and training delivery vehicles (computer-based, corporate trainers, etc.), and a detailed training pilot program plan.
Communications Toolkit and Playbook
The toolkit and playbook drives users toward a targeted behavior set and measures progress in achieving compliance. It focuses on determining what company-specific information governance messages will resonate with employees and how we communicate these messages throughout the enterprise. It includes a messaging strategy with formal, consistent, and targeted communications to employees and executive sponsors during implementation to provide awareness of program rollout and its importance to the organization.
Audience-specific communication strategies involve messaging tailored to the needs of distinct groups: senior management’s concern about risk, costs, and returns on investment; business unit directors and managers’ responsibility for their teams’ involvement; rank-and-file employees’ productivity and collaboration gains.
While records management, privacy and other information governance areas may seem like dry topics, successful behavior change management often utilizes creative communications campaigns. This can include contests, entertaining posters, or even, as one company did, an email management rap song. Fun, interesting, and engaging communications will pique employees’ interest.
Records Management and Information Governance 101
This customized training for employees provides an overview of what they need to know about records management along with “how-to” tactical activities required for them to manage records. Content may include what is and is not a record, what should be kept or deleted, how to use the retention schedule, and additional topics as needed. Training can be delivered in-person, integrated into an LMS, or administered through “train-the-trainer”.
Records Management and Information Governance 201
This customized training for records or information governance coordinators or employees provides an overview of what they need to know as “super users” to support their departments. Training can be delivered in-person, integrated into an LMS, or administered through “train-the-trainer”.
Information Governance Content and Delivery
Effective training can be both comprehensive and concise, since many information governance processes serve a combination of compliance requirements. Rather than overwhelming with multiple training sessions, records, privacy, legal hold and information security can often be taught in a single, integrated training session.
Customized and integrated records management, privacy, eDiscovery, and Microsoft 365 training content development and delivery ensures effective implementation of new structures and processes by employees and demonstrates compliance with legal and regulatory requirements. Content may include initial training or annual update training and can be designed to be delivered in designated training delivery vehicles. Training is customized to include organization-specific information governance messaging.
Privacy Training
Develops change management, communications, and training program elements to create a basic Privacy Program 101 training for all employees, and a more advanced Privacy Program 201 training for appropriate stakeholders and privacy program coordinators. A successful change management program provides sufficient communications to increase user awareness as well as a range of training and educational materials to ensure users understand how to comply with privacy requirements.
